Privacy Policy

This policy explains what personal data COSMODENTAL DESIGNS collects, why we collect it, and what you can do about it. It is written in plain English and is intended to be read, not skimmed.

1. Who we are

"COSMODENTAL DESIGNS" refers to the COSMODENTAL DESIGNS dental design service. We are the data controller for the personal data we hold about you as a visitor, lead, or account holder. Contact: cosmolab@cosmodigitaldentalsolutions.com.

2. Data we collect

  • Account data: name, work email, practice or lab name, role, phone number where you provide it.
  • Case metadata: case reference, discipline, delivery tier, revision notes.
  • Case files: intraoral scans (STL, PLY, OBJ), CBCT / DICOM volumes where relevant, and design outputs. Please do not include patient identifiers.
  • Communications: the content of your emails, chat messages, and demo requests.
  • Site analytics: aggregated, non-identifying page-view and performance data. No third-party ad tracking.

3. Lawful basis (GDPR Art. 6)

  • Contract: account, billing, and case-processing data.
  • Legitimate interests: service-quality analytics, fraud prevention, direct B2B outreach to a work email you have shared.
  • Consent: marketing emails outside an existing customer relationship, and any optional cookies.

4. How long we keep it

Case files: 24 months after final delivery, unless you request earlier deletion or extended retention in writing. Account and billing data: as long as your account is active plus 6 years to satisfy applicable tax and accounting law. Marketing preferences: until you opt out.

5. Where it lives

All personal data and case files are stored in EU data centres. We do not transfer personal data outside the EU without your explicit written instruction and an appropriate transfer mechanism.

6. Who we share it with

  • Our processors: cloud hosting (EU regions), payment provider, and email/CRM tooling — all bound by written data-processing agreements.
  • We do not sell personal data to anyone, ever.
  • We do not share case files with third parties without your written instruction.

7. Your rights

Under GDPR you have the right to access, rectify, delete, restrict, and port your personal data, and to object to processing based on legitimate interests. Email cosmolab@cosmodigitaldentalsolutions.com and we will respond within 30 days. You may also complain to the Information Commissioner's Office (ICO) at ico.org.uk.

8. Security

TLS 1.2+ in transit. AES-256 at rest. Role-based access with audit logging. Full detail on the Compliance page.

9. Changes

When we update this policy we will change the "last updated" date. Material changes will be notified by email to account holders.
